Overview

Versatile Event Designs wanted to obliterate every bottleneck between a prospect’s first click and a fully paid, fully staffed event. We kept Photobiz for its rock-solid hosting and gallery tools, but rebuilt the front end from scratch in semantic HTML, modern CSS utilities, and vanilla JavaScript to escape template limits. Every public-facing package, add-on, and availability indicator mirrors its counterpart inside CheckCherry, so when visitors jump to a proposal they never sense a platform change. CheckCherry’s branded environment now issues elegant proposals, captures e-signatures, and processes payments through Square, PayPal, or Venmo, all in a single, branded flow. Staff receive real-time calendar locks, office managers monitor a unified dashboard, and couples glide from price exploration to confirmation in minutes instead of days.

Challenges

Versatile’s legacy system scattered essential tasks across PDFs, phone calls, and separate Google calendars, forcing double entry, causing missed follow-ups, and wasting weekends on admin work. Off-the-shelf Photobiz website themes were not conversion optimized or linked with any CRM or multi-step booking UX, but the platform had features making it worthwhile. Modern couples expect modern digital wallets and auto-receipts, yet payments still required manual chasing, and scattered reviews offered no way to filter by DJ, lighting crew, or photo-booth team. Finally, field staff met prospects at events but had no standardized, trackable method to capture leads on the spot—leaving priceless data stuck in pockets instead of pipelines.

Solutions

  • Custom-Coded Photobiz Front-End: Hand-rolled components, interactive package builders, animations, and friction-free scroll anchors, sit on Photobiz but remain client-editable.
  • Seamless CheckCherry Handoff: Package ID and add-on choices pass via URL parameters; CheckCherry loads with identical typography, color palette, and favicons, so the user feels they never left the main site.
  • Unified Payment Modal: Square, PayPal, and Venmo tokens load inside a single CheckCherry checkout pane; auto-receipts, partial-payment schedules, and “pay-by-X-date” nudges fire via webhooks.
  • Google Calendar Sync & Staffing Logic: Each DJ, Photographer, Videographer, photo-booth tech links their calendar; when a proposal is accepted, slots lock instantly, preventing double-booking and updating public availability badges.
  • Automated, Brand-Voice Communications: Custom-designed  emails and conversational SMS flows trigger at every milestone: inquiry receipt, proposal sent, payment reminder, event prep checklist, day-of logistics, and 24-hour post-event review request. Tone, emojis, and CTAs match Versatile’s playful yet professional brand voice.
  • Service-Specific, Staff-Tagged Forms: Dynamic inquiry forms surface only fields relevant to the chosen service (DJ, lighting, photo booth) and auto-assign the selected staffer - ensuring crystal-clear briefs and spotless CRM records.
  • NFC Business Card Ecosystem: Every team member now carries a tap-to-share card encoded to a personalized landing page.
  • Omnichannel Review Aggregator: A lightweight nightly script scrapes fresh reviews, tags them by service and staff member, and serves a JSON feed that Photobiz renders into gorgeous, filterable testimonial sliders, turning scattered praise into conversion fuel
  • Dashboard Consolidation: Office personnel log into one CheckCherry screen to see pipeline status, payment progress, staff availability, and upcoming tasks, cutting hours of “tool-hopping” each week.
